Microsoft 365 Copilot Implementation for SJ Renova
Microsoft 365 Copilot Deployment and AI Adoption
About
the Client
SJ Renova is an Australian construction and renovation company delivering projects across residential, commercial, and refurbishment work. The business runs on a distributed workforce of project managers, site supervisors, estimators, and back-office staff, all relying on Microsoft 365 to coordinate site activity, manage subcontractors, and respond to clients.
As project volume and team size grew, leadership wanted to give the team Microsoft 365 Copilot to accelerate tender responses, summarise site meetings, draft client updates, and surface answers across the document library. Before switching Copilot on, however, the business needed certainty that AI would not expose commercially sensitive tenders, pricing, or client documentation across the wrong project sites.
Summary
SJ Renova engaged Arvanic IT to design and deliver a structured, two-week Microsoft 365 Copilot deployment that combined readiness assessment, end-user enablement, and tenant-level data governance.
The objective was to give the construction team fast, confident, governance-first Copilot adoption. The rollout proved the productivity case for AI on live projects while strengthening the underlying data security posture across the Microsoft 365 environment.
Business Challenge
SJ Renova wanted the productivity gains of Microsoft 365 Copilot: faster tender drafting, smarter project reporting, and instant answers across SharePoint and OneDrive. But switching Copilot on without preparation would have exposed commercially sensitive content across the tenant.
Key challenges included:
- Microsoft 365 Copilot indexes content the user already has access to. Without disciplined SharePoint permissions across project sites, AI responses could have surfaced tenders, pricing, subcontractor agreements, or client information beyond the right audience.
- No sensitivity labels or Data Loss Prevention (DLP) rules were configured in the tenant. This meant there was no automated way to classify or protect confidential commercial, project, or HR documentation once Copilot was active.
- A distributed workforce of project managers, site supervisors, and estimators needed structured training so Copilot would be adopted as a daily tool rather than abandoned as a novelty.
- The rollout had to be fast (a two-week window between projects) without compromising governance, compliance, or operational risk.
The Solution
Arvanic IT delivered a phased Microsoft 365 Copilot Quick Start engagement that layered enablement and governance into a single structured rollout across SJ Renova's Microsoft 365 tenant.
A structured readiness assessment of SJ Renova's Microsoft 365 environment, followed by tenant-wide enablement of Copilot across Teams, Outlook, Word, Excel, PowerPoint, and Edge with policy controls in place from day one.
Tenant-level governance combining SharePoint site restrictions, Data Loss Prevention rules, and Microsoft Purview integration with five custom sensitivity labels protecting commercial, project, and client data.
Hands-on Copilot training for power users on real construction prompts (drafting tenders, summarising site meetings, generating project reports), plus a signed-off As-Built document for SJ Renova's internal IT team.
A scalable digital foundation ready for future growth.

The Results
The engagement delivered a fast, confident Copilot rollout that left SJ Renova in a stronger security posture than before the project began.
- Microsoft 365 Copilot fully enabled across Teams, Outlook, SharePoint, and OneDrive within a two-week delivery window.
- Tenant-wide Data Loss Prevention and five Microsoft Purview sensitivity labels protecting commercial, project, and client data.
- A trained team of Copilot power users and a documented governance baseline, ready to scale with future AI adoption.
The Arvanic Experience
Arvanic IT approaches Microsoft 365 Copilot deployment as a governance project as much as a productivity one. Switching Copilot on is straightforward. Making it safe, useful, and adopted across a distributed construction workforce is where real expertise matters.
Through a disciplined Quick Start methodology covering readiness assessment, structured enablement, sensitivity labelling, Data Loss Prevention, and end-user training, we delivered an AI rollout SJ Renova’s leadership could trust and its project teams could actually use. The result is not just a Copilot tenant, but a stronger, more governed Microsoft 365 environment ready for the next wave of AI capability.
