Power BI and Microsoft Fabric Platform for a Community Services Organisation.

Business Intelligence and Dashboards

About
the Client

The client is an Australian community services organisation operating in the not-for-profit sector. Through a frontline case-management programme, the organisation supports a high volume of individuals and families each year, capturing detailed operational data across client interactions, financial and in-kind assistance, bookings, and member activity.

As the organisation grew, leadership needed a modern reporting foundation that could turn this rich operational data into trusted, decision-ready insight, without committing to a heavy, long-term platform build upfront.

Summary

The client engaged Arvanic IT to design and deliver a proof-of-concept Microsoft Fabric data platform and Power BI reporting solution.

The objective was to validate a scalable and governed approach to reporting within a short engagement window. The new platform replaces fragmented analytics with a single, business-aligned source of truth and gives programme leaders confidence in the numbers they rely on to run the organisation.

Business Challenge

The client's existing reporting environment did not give leadership a clear or consistent view of programme performance. Insights were difficult to extract, slow to produce, and hard to validate. This limited the speed and confidence of operational decisions across the organisation.

Key challenges included:

  • Reporting was structured around source-system tables rather than the way the business actually operates, which made dashboards hard for non-technical users to interpret or trust.
  • No clear separation existed between raw operational data and analytics-ready data, which weakened traceability, auditability, and data quality.
  • Historical changes to records were not preserved, which limited trend analysis and year-on-year reporting.
  • No governed self-service environment was available for power users, so every new question became an IT request.

The Solution

Arvanic IT designed and implemented a modern data platform on Microsoft Fabric, structured around a medallion architecture and a business-led semantic model, with Power BI dashboards delivered on top.

A Microsoft Fabric data platform built on a three-layer medallion architecture (Bronze, Silver, Gold) that cleanly separates raw and analytics-ready data, with Slowly Changing Dimension Type 2 logic preserving full historical traceability from source to dashboard.

A business-aligned Power BI semantic model and dashboards modelled around real-world programme concepts such as clients, assistance, cases, and members, surfacing the metrics leaders actually use to manage the service.

End-to-end governance and self-service enablement, including workspace-based security across Microsoft Entra ID and Azure, plus Power BI familiarisation sessions that gave internal power users the confidence to extend reporting independently.

The Results

The Power BI proof of concept delivered a working, business-aligned reporting platform and gave the organisation a credible foundation on which to build its broader business intelligence strategy.

  • A single, governed source of truth for the programme’s operational data, with clear lineage from source system to dashboard.
  • Reporting that reflects how the business actually operates, making insight immediately usable by non-technical stakeholders and programme managers.
  • Historical records preserved through SCD2 logic, enabling trend analysis, impact measurement, and longitudinal reporting that were not previously possible.
  • A governed self-service Power BI environment for internal power users, reducing reliance on external developers and accelerating answers to day-to-day operational questions.

The Arvanic Experience

Arvanic IT treats data platforms as business-critical infrastructure, not technical experiments. Every architectural decision in this engagement was anchored to a clear business outcome: traceability for confidence in the numbers, business-led modelling for usability across the organisation, and a medallion approach for long-term scalability.

Through structured discovery, design, build, and handover phases, we delivered a solution that is auditable, governed, and ready to grow alongside the organisation’s needs. The result is not only a working Power BI proof of concept, but a foundation the client can confidently invest in further.s
